The folder tree tells you where a file arrived. It rarely tells you how the team will use that file, which entity it concerns, what type of evidence it contains, or whether a newer version has changed a prior conclusion.

Build the workspace before running the workflow

A useful transaction evidence base starts with explicit boundaries:

  • one organization owns the data and configuration;
  • one workspace represents the mandate or matter;
  • members receive explicit access to that workspace;
  • sources retain their origin and file identity;
  • document types, folders, and versions remain visible.

This structure matters because every later AI action needs a reliable scope. “Search everything” is rarely the correct permission or analytical instruction.

Preserve provenance during normalization

Document processing often creates text chunks, table representations, page images, and extracted metadata. Those derived forms should remain linked to the original file and page context.

The goal is not to convert every document into one universal database. The goal is to make different kinds of source material usable without erasing where each fact came from.

For a cited answer, preserve the file and location. For numeric analysis, preserve the workbook and range. For a connected record, preserve the provider and external identifier. For a finding, preserve every supporting evidence item.

Organize for reuse

The same evidence should support several modes of work:

  1. open-ended questions in chat;
  2. repeated questions in a matrix;
  3. code-assisted numeric analysis;
  4. reusable workflow runs;
  5. findings and issue registers;
  6. versioned deliverables.

If each surface maintains its own copy of the sources, the team creates drift. A shared workspace record lets the analysis evolve while the source identity stays stable.

The practical outcome

The best evidence base is not the one with the most extracted fields. It is the one that lets a team answer three questions quickly:

  • What do we know?
  • What supports it?
  • What changed since we last reviewed it?

Structure the room around those questions and automation becomes easier to govern.
